Considerations for a new phone system

As the business phone system continues to change from traditional land line solutions to more flexible IP-based products, decision-makers need to ensure they understand the components of their infrastructures and their firms' unique requirements before adopting the technology. Despite the popularity of enterprise VoIP and the significant number of success stories, companies can still encounter problems if they do not plan the migration carefully. For this reason, executives need to be proactive when adopting VoIP.

VoIP is quickly replacing the old phone system with a more affordable and efficient offering in the form of IP telephony. Before decision-makers adopt the technology to improve operations and potentially gain a competitive advantage, however, executives need to consider the solutions available, according to a report by The Digest. Because VoIP is so popular in the consumer and business world, there is an abundance of services to choose from, making it more important than ever that enterprises align their long-term corporate strategies with the most relevant VoIP systems.

While many executives are using on-premise IP PBX systems supported by SIP trunks, others opt for the hosted PBX system that is managed by a third party, reducing the in-house complexity associated with maintaining complex telecommunications platforms, The Digest reported. Before deciding which VoIP service to use, decision-makers need to consider their unique requirements.

Think about voice traffic
Although there are a number of things executives need to evaluate when contemplating VoIP, analyzing current and future voice traffic is critical, the news source said. Executives need to think about contact center operations and whether a standard IP PBX system will be enough. If a firm expects traffic volumes to increase in the future, a hosted PBX solution may be more applicable, as the off-site platform is much more scalable. As a result, the network can manage a large volume of simultaneous voice traffic, keeping customers connected and boosting efficiency.

Companies also need to consider where individuals are working from. If a firm has a strong remote workforce, the hosted PBX system may provide more benefits, as it allows employees to access mission-critical resources from virtually anywhere at any time.

Efficiency is all about support
The Digest also needs to consider its range of in-house support, as a lack thereof will make it more difficult to use the standard IP PBX. If decision-makers realize their internal teams are not qualified to manage the complexities of an advanced telecommunications system, the cloud-based offering will likely introduce more significant advantages, as it is hosted off-site and managed by a trained third party.

Hosted PBX solutions are also highly scalable, making them ideal for a small business looking to grow in the future. By leveraging a virtual PBX system, companies of all sizes can take advantage of a highly efficient telecommunications platform that provides long-term benefits.

As businesses continue to evolve and require advanced services to keep pace with next-generation trends and demands, upgrading a legacy phone system to an IP-based offering can yield a number of positive results. With the proper planning, these tools can dramatically improve operations.
